Terms of Service

1. The service

TrueCalibr is a cloud-hosted calibration management service for manufacturing companies. It lets your organisation maintain an instrument registry, upload calibration certificates issued by accredited laboratories, extract and store the key data from those certificates, track calibration due dates, and receive reminder notifications — with a complete audit trail suitable for IATF 16949 and ISO 9001 audits.

Calibration certificates exist to prove compliance history, so uploaded certificate files are retained permanently and are never deleted — only archived. This matches the record-keeping expectations of IATF 16949 / ISO 9001 audits. If your organisation leaves TrueCalibr, you receive your full export; retained copies remain subject to this policy's confidentiality terms.

5. Payment

Subscriptions are invoiced manually and settled by bank transfer or other agreed means. TrueCalibr does not collect or store card numbers, bank credentials, or any other payment instrument details inside the service.

If a subscription lapses, an account may be placed in view-only mode (you can still read and export everything, but not add or edit) and subsequently locked. Your data is retained through both states and is not deleted.

8. Service availability

TrueCalibr is currently offered as an early-access service. We work to keep it available and correct, but it is provided "as is", without a formal uptime guarantee at this stage. Scheduled reminder notifications are delivered on a best-effort basis and do not replace your organisation's own quality-system obligations.

9. Liability

To the maximum extent permitted by law, TrueCalibr's total liability arising out of the service is limited to the amount your organisation paid for the service in the twelve months preceding the claim. TrueCalibr is not liable for indirect or consequential losses, or for decisions made on the basis of data your organisation entered or uploaded.

10. Changes and termination

We may update these terms as the service evolves; material changes will be notified to your organisation's administrator. You may stop using the service at any time; on request we will provide your full data export as described above.

11. Governing law

These terms are governed by the laws of India, with courts at Mumbai, Maharashtra having jurisdiction.

What we collect

We do not run advertising or third-party analytics trackers, and we do not sell or share your data for marketing.

Where your data lives

Service providers (subprocessors)

TrueCalibr runs on AWS infrastructure: hosting and storage, Amazon Cognito for sign-in, and AWS document-processing services (including Amazon Bedrock) to read the key fields out of uploaded certificate PDFs so you don't have to type them. Certificate content is processed for that extraction and is not used for any other purpose. Reminder notifications are delivered through email and WhatsApp messaging providers using the recipient addresses your administrator configures.

Cookies and local storage

The application stores only what sign-in requires (session tokens and your selected company) in your browser's local storage. There are no advertising or cross-site tracking cookies.

Retention

Your rights

You can view most data about your organisation directly in the application, and administrators can export all of it at any time. For corrections, questions, or data requests (including under India's Digital Personal Data Protection Act), contact us at the address below and we will respond within a reasonable time.
